So, you're ready to ditch manual notetaking?

Done with not being able to find specific details from unorganized meeting minutes?

Welcome to using Wudpecker! We're happy to see you here.

Below is a comprehensive guide on how it exactly works after you sign up.

Step 1: Wudpecker fetches your upcoming meetings

When you're first signing up, Wudpecker asks to integrate with your calendar so that the Notetaker bot can automatically fetch and join your scheduled meetings.

In the Upcoming Calls page, you will see the meetings that Wudpecker will join to record (whether it's a Zoom, Google Meet or MS Teams call).

The Upcoming Calls page shows all meetings scheduled in your calendar for the next 3 days and whether or not Wudpecker is set to join them

How to make Wudpecker recognize your meetings

Wudpecker joins your meetings through a calendar event based on the meeting link and the event start time.

Double check that your meeting has a virtual joining link in the location and that the time and date are correct.

The Notetaker needs the meeting link and the event's start time

Step 2: Wudpecker joins your meeting

When you start the meeting on time, you'll see the notetaker waiting in the lobby. You or the meeting host has to admit it in the call (on Zoom, there might be some extra steps).

When you see the notetaker in your meeting as a participant, that means Wudpecker is doing its job to record the conversation.

How Wudpecker joins your meetings

Not seeing the Notetaker anywhere?

Once the scheduled meeting time starts, the Notetaker waits to get admitted in the lobby for about 10 minutes. If it doesn't get admitted in that time, it takes the hint and gets out of the way.

If you join the meeting after that, you have the option to Invite the Notetaker back to your meeting, or record without a bot with our apps. Read more about them below.

Mac and Windows apps

If you want to record bot-free, here are your other options:

  • Mac and Windows: capture discussions on any virtual platform that you can think of. Wudpecker records both system and microphone audio, so it's not limited to specific services. If you're having a physical gathering, you can also record without joining a virtual meeting room.
  • iOS and Android: record on-the-go meetings where it's most practical to rely on the phone. Joining virtual platforms won't be possible but the mobile apps are meant to make it extremely easy to get AI notes even when you don't have a fancy setup.

Step 3: The results

Shortly after the meeting, you will see the finished result: the AI summary along with a transcript and an audio recording.

Additionally, you can ask AI any questions regarding the meeting in the chat.

You can always find each call later in My Calls or a Collection you've created.

FAQs

Here is some more specific information in case the three steps above didn't answer all your questions.

How can I share the notes and audio?

You can share a simple read-only version of the notes (and audio) to anyone by copying the URL link.

Alternatively, you can share the notes to another Wudpecker user's account. That way, they'll have their own copy of the notes which they can freely edit without affecting your original version.

Read more about sharing here.

Can Wudpecker join impromptu meetings?

Absolutely! To record ad hoc meetings, you can...

Can I automate the Notetaker joining all meetings?

Yes. However, this is only available for the paid plans. Read more information here.

Can the Notetaker be kicked out if I don't want it in the meeting anymore?

Yup! If it's still in the lobby, Deny admitting it in. If it's already in the meeting, find it in the participants list and kick it out.

Pro Tip: Ask Wudpecker to find information from meetings quickly

Is there something you want to know about the meeting that was not covered thoroughly in the summary? Try Ask Wudpecker. This is a powerful way to extract further detailed insights.

Simply ask any question you have about the meeting, as if you were talking to a human assistant. Wudpecker can even provide direct quotes that you can click and jump to the relevant part in the transcript. This is a way to make sure you get all the relevant details without having to go through the entire recording yourself.
